What is an AI receptionist?

By XPand · Updated October 5, 2026

An AI receptionist answers business phone calls using a voice conversation. It can collect caller details, answer questions from approved information and book appointments when a calendar integration is configured.

For a small business, the practical question is what happens to an enquiry when nobody can pick up. An AI receptionist adds a way to capture that enquiry while staff are serving customers, driving between jobs or outside office hours. It is not a substitute for every judgement your team makes.

How does an AI receptionist work?

  1. A call reaches the answering workflow. Your phone routing determines which calls go to the AI. Review whether the setup covers all incoming calls, overflow or only after-hours calls.
  2. The caller explains what they need. The assistant uses the business information and questions configured for the workflow.
  3. The system collects useful details. These might include the caller's name, callback number, service requested and location.
  4. The next step follows agreed rules. That can mean a booking in an available slot, capturing a message or following a defined handover path. Confirm which actions your provider supports.

“Virtual receptionist” can describe a human service or an automated product. Ask what actually answers the call. A comparison should use the same business hours, call volumes and required tasks.

What should you test before choosing a provider?

Test more than a polished greeting. Try a new enquiry, a vague request, a caller correcting their phone number, an unavailable appointment and a question that is not in the knowledge base. Listen for whether the assistant acknowledges uncertainty instead of inventing an answer.

Appointment booking and time zones

Calendar connectivity is only part of scheduling. A useful configuration also needs meeting types, appointment duration, availability, travel or preparation time, and a policy for unavailable slots. For US and UK operations, use location-based time zones so the date's daylight-saving rules can be applied.

XPand's own discovery-call booking lets visitors choose a US or UK time zone and reserve a 45-minute Google Meet. That is a demonstration of our website's booking flow; the integrations in a customer's phone system are scoped separately.

What changes between the United States and the United Kingdom?

Ask about phone-number support, caller expectations, vocabulary, pronunciation and opening hours. US businesses often describe the service as AI phone answering; UK businesses may ask for telephone answering or out-of-hours call handling. The label matters less than whether the actual workflow fits your business.

Discuss call recording, data access and retention with the provider before enabling them. Do not assume that a product's marketing description establishes its suitability for your particular requirements.

How XPand approaches the setup

We start with your business, the enquiries you receive and the next step you want each caller to take. The discovery call is where we review service information, qualification questions and your current tools. Bring example calls or a list of frequent questions so the conversation can focus on a concrete workflow.
